Why We Built Our Own Platform Instead of Stitching Tools Together

For years, “build me a simple website” never actually meant simple.

A local business would come to us needing a site — a few pages, a contact form, maybe online booking down the road. Straightforward enough. But by the time that site was actually live and doing what the business needed, it wasn’t one thing anymore. It was a website, plus a booking tool, plus an email platform, plus a handful of plugins holding it all together — each from a different company, each with its own bill.

The WordPress Problem

WordPress is free. That’s the pitch. In practice, a real small-business site needed a form plugin, an SEO plugin, a security plugin, a backup plugin, a caching plugin for speed — and the free versions were never quite enough. Premium licenses for each of those added up fast, often to more than a paid all-in-one platform would have cost in the first place.

And plugins don’t exist in isolation. An update to one would break another. A theme update would break a plugin. Something that worked fine in March would throw errors in June because three unrelated pieces of software all shipped updates the same week. We were the ones who got the call when the site went down — not the plugin developers.

Then Add the Subscriptions

The website itself was only part of it. The same business also needed:

  • Calendly (or similar) for booking appointments
  • Mailchimp for email marketing
  • A separate form tool, because the built-in WordPress forms weren’t reliable enough
  • Sometimes a separate page builder, because the theme’s editor wasn’t flexible enough

Each of these was its own login, its own monthly charge, its own support team to deal with when something didn’t work. None of them talked to each other. A booking made through Calendly didn’t show up anywhere near the website. A form submission on the site had no connection to the email list. We did the math on this once for a client and it came out to roughly what we now charge for an entire hosted plan — for a stack of disconnected tools that didn’t fully work together even when everything was paid for and configured correctly.

The Realization

We weren’t building one website for one client. We were rebuilding the same stack — WordPress, plus the same five plugins, plus the same three subscriptions — over and over, for every client, and supporting all of it ourselves regardless of who the bill went to.

At some point the question became obvious: why are we maintaining this patchwork separately for every business, instead of building it once, properly, and giving every client a version of it?

What We Built Instead

That’s the platform every XZY Services site now runs on.

Instead of a website plus a pile of separate tools, every hosted site starts with the basics built in: hosting, SSL, custom forms, transactional email, and security (firewall and bot protection) — the things that used to mean five different plugins and accounts, now just… part of the site.

On top of that baseline, we added the features that actually help a business make more money: appointment booking with automated reminders, online ordering for restaurants, an online store for product businesses, and email marketing for staying in touch with customers. These are add-ons — not because we wanted another tier to upsell, but because not every business needs all of them, and forcing a bundle on someone who just needs a website was exactly the kind of thing we were trying to get away from.

What This Means for You
